  • To oversee day-to-day operations at the oil depot, ensuring effective and compliant management of logistics, customs clearance and forwarding, documentation, HSE standards, inventory management, and customer support, in alignment with company and regulatory requirements.

Job Description

Key Responsibilities:

  • Depot Operations Management
  • Supervise receipt, storage, and dispatch of petroleum products in line with safety and quality standards.
  • Monitor daily operations to ensure efficient turnaround of trucks and timely order fulfillment.
  • Oversee product sampling and quality checks before dispatch.
  • Customs Operations, Clearing & Forwarding
  • Manage and coordinate customs clearance procedures and documentation for  outbound product movements.
  • Liaise with customs officials, clearing agents, and transporters to facilitate timely cargo clearance and delivery.
  • Ensure compliance with all customs regulations and maintain up-to-date records for statutory reporting.
  • Logistics & Documentation
  • Supervise loading and offloading operations while ensuring accurate documentation (delivery notes, gate passes, dispatch records).
  • Reconcile daily dispatches with system records and investigate discrepancies.
  • Coordinate with transporters to optimize delivery schedules and route efficiency.
  • Inventory Management
  • Monitor and maintain accurate stock levels in storage tanks and trucks.
  • Conduct periodic stock reconciliation and prepare reports for management review.
  • Flag and investigate variances or product losses promptly.
  • Health, Safety, and Environment (HSE)
  • Enforce depot safety protocols and environmental policies.
  • Conduct safety briefings for staff, drivers, and third-party service providers entering the depot.
  • Report and address incidents, near misses, and identified hazards promptly.
  • Customer Support & Relationship Management
  • Coordinate with customers to ensure timely and accurate deliveries aligned with order requirements.
  • Address customer inquiries and complaints promptly and professionally.
  • Build and maintain strong relationships with clients, customs officers, and clearing agents.

Job Requirements

Key Requirements:

  • Diploma/Degree in Logistics, Supply Chain, Business Administration, or a related field.
  • Minimum 4–6 years of experience in depot operations within the oil and gas industry.
  • Demonstrated experience in customs operations, clearing and forwarding, and documentation compliance.
  • Sound understanding of logistics and inventory management (ERP systems knowledge is an advantage).
  • Strong attention to detail, organizational, and problem-solving skills.
  • Excellent communication and stakeholder management skills.
  • Ability to work under pressure while maintaining safety and operational standards.
