Role summary
Insurtech Forum Nairobi (ITFN) is hiring a hands-on PMO Delivery Lead to run the conference delivery office for ITFN June 2026. This role makes delivery predictable across workstreams by maintaining the single source of truth, running the weekly execution cadence, chasing actions to closure, and escalating decisions early—so the event executes smoothly from build-up through event week and close-out.
This is an execution role. You are not the content owner and you are not the primary sponsorship closer.
Objectives and outcomes (what success looks like)
- One master tracker and pipelines (Speakers, Sponsors, Registrations) are live and used weekly
- Weekly governance runs consistently: clear updates, clear decisions, clear action follow-through
- Two KPIs stay visible and improve weekly: Sponsor revenue received (cash in) and Registrations invoiced
- Program and speaker operations stay ahead of deadlines (briefs, confirmations, materials, rehearsals)
- Event week runs with calm control: run-of-show coordination and fast issue triage
- Clean close-out: sponsor fulfilment confirmation and a short lessons-learned pack
Core responsibilities
- Own the delivery office: master tracker (critical path), dependencies, RAG status, and weekly action chasing
- Maintain pipelines and forecasts for Speakers, Sponsors, and Registrations; keep next actions explicit
- Maintain decision and risk logs; escalate early with options and recommendations
- Run the weekly execution cadence: steering pack, minutes, and action closure discipline
- Support program execution: speaker operations (confirmations, packs, deadlines, rehearsal scheduling)
- Coordinate readiness across operations, marketing, commercial, technical programs, and finance; maintain run-of-show and day-of playbook
- Coordinate event-week “war-room” rhythm: issue triage, escalation, and rapid resolution
- Coordinate post-event close-out and reporting pack
Working relationships (high level)
You will work closely with: the Convener & Program Owner, a Commercial Lead (sponsorships/registrations/collections), Marketing & Communications leadership, Event Operations leadership (venue and vendors), a Technical Programs lead (workshops/challenge/case study), and a Finance/Admin lead (budget, invoicing/receipts, approvals).
Candidate profile
Required
- 5+ years PMO / program delivery / operations experience (events or multi-stakeholder delivery)
- Demonstrated cadence discipline: trackers, weekly reporting, action chasing, escalation and decisioning
- Strong stakeholder management; comfortable coordinating senior leaders and vendors
- Crisp written communication and high attention to detail; calm under pressure

- Executive forum or conference delivery experience (plenary + breakouts + sponsor activations)
- B2B sponsorship/registration pipeline discipline and forecasting
Engagement details
- Contract: fixed-term / consulting through June 2026 (optional close-out into July)
- Location: Nairobi (hybrid), with full on-site presence during event week and key rehearsals
- Start: as soon as available
