Duties:
The Personal Assistant To The Ceo Provides High-Level, Confidential, Proactive Administrative And Executive Support To The Chief Executive Officer. This Role Serves As The Primary Point Of Contact Between The Ceo And Internal Teams, Clients, Board Members, And Other External Stakeholders. The Pa Is Responsible For Optimising The Ceos Time And Effectiveness By Managing Communications, Scheduling, Travel Logistics, Board And Management Meeting Coordination, And A Broad Range Of Administrative And Strategic Support Functions. Operating At The Heart Of The Executive Office, The Role Demands Exceptional Discretion, Sound Business Judgment, Strong Organisational Skills, And An Intimate Understanding Of The Company Business Operations Environment.
Personal Assistant To The Ceo Will Perform The Following Main Responsibilities: -
- Manage The Ceo’s Diary, Schedule, And Calendar: - Proactively Manage And Maintain The Ceo’s Calendar Across Multiple Time Zones, Scheduling Meetings, Appointments, And Internal Reviews With Precision.
- Serve As The Primary Communication Interface For The Ceo: - Act As The First Point Of Contact For All Incoming Communications Directed To The Ceo, Including Calls, Emails, Correspondence, And Visitor Management. Screen, Triage, And Respond To Enquiries On Behalf Of The Ceo Where Appropriate, Escalating Matters That Require Direct Ceo Attention.
- Coordinate Board, Management, And Executive Meetings: - Organise And Coordinate All Board Meetings, Exco Sessions, Management Committee Meetings, And External Executive Engagements. Prepare And Distribute Board Packs, Meeting Agendas, Pre-Read Materials, And Supporting Documentation Within Required Timelines.
- Manage Travel, Logistics, And Event Coordination: - Plan And Coordinate All Domestic And International Travel Arrangements For The Ceo Including Flights, Accommodation, Ground Transportation, Relevant Insurances And Visa Requirements. Prepare Detailed Travel Itineraries And Ensure All Logistical Requirements Are Met In Advance.
- Provide Research, Reporting, And Briefing Support: - Conduct Research And Compile Briefing Materials On Topics Including Market Intelligence, Regulatory Developments, Client Backgrounds, Competitor Activity, And Industry News Relevant To The Company Business Sector.
- Maintain Confidentiality And Manage Sensitive Information: -Handle All Sensitive, Proprietary, And Confidential Information Relating To The Business, Its Clients, Employees, And Strategic Matters With Absolute Discretion.
- Support Special Projects And Company Initiatives: - Assist The Ceo In Driving Transformation Projects And Business Priorities By Providing Coordination And Administrative Support Across Workstreams.
- Manage Office Administration For The Ceo’s Office: -Oversee The Day-To-Day Administration Of The Ceo’s Office, Always Ensuring Efficient And Professional Operations.
- Build And Maintain Stakeholder Relationships: - Cultivate And Maintain Professional Relationships With Key Internal And External Stakeholders On Behalf Of The Ceo.
- Support Governance And Compliance Requirements: - Assist The Ceo In Meeting Governance, Regulatory, And Compliance Obligations By Maintaining Accurate Records Of Board Decisions, Regulatory Submissions, And Audit-Related Documentation
