Job Summary

Our client is seeking a highly organized, proactive, and detail-oriented Personal Assistant to provide comprehensive administrative and personal support to senior management. The role requires professionalism, discretion, and the ability to ensure seamless day-to-day executive operations.

Key Responsibilities

  • Manage and maintain executive calendar (meetings, appointments, reminders)
  • Coordinate internal and external meetings, prepare agendas, and take minutes
  • Serve as first point of contact for calls, emails, and visitors
  • Draft, proofread, and format correspondence, reports, and presentations
  • Organize travel arrangements (flights, accommodation, itineraries)
  • Prepare and reconcile expense claims and basic reports
  • Maintain organized physical and electronic filing systems
  • Track action items, deadlines, and follow-ups
  • Coordinate communication between executive and departments
  • Handle confidential and sensitive information with discretion
  • Prepare documents for approvals and signatures
  • Manage office supplies and purchase requests
  • Provide basic HR and administrative coordination support
  • Run official and personal errands as required
  • Ensure smooth daily operations of the executive office

Qualifications & Requirements

  • Diploma or Bachelor’s Degree in Business Administration or related field
  • Minimum 1 year experience in a similar role (added advantage)
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Proficiency in MS Word, Excel, PowerPoint, and email applications
  • High level of integrity and confidentiality
  • Ability to work under pressure and meet deadlines
  • Professional, proactive, and detail-oriented
