The Procurement Officer keeps Haco’s supply chain running, ensuring materials, packaging, and services are sourced on time and at the right cost, and that supplier relationships stay strong and responsive. This is a hands-on, high-volume operational role supporting the Procurement & Supply Chain function during a period of sustained growth. The role goes beyond transactional purchasing to drive value creation, support new product development, mitigate supply risk, and advance our sustainability agenda. The role holder reports to the Senior Procurement Manager.

Key Responsibilities:

• Convert purchase requisitions into purchase orders accurately and within agreed turnaround times, proactively following up to prevent approval-stage delays.
• Monitor supplier delivery lead times and escalate early to prevent production delays and stock-outs.
• Coordinate with suppliers and service providers on order confirmations, delivery schedules, and account matters, maintaining accurate supplier records.
• Prepare and track import/clearance documentation, coordinating with clearing agents to avoid delays and demurrage.
• Ensure accuracy of supplier invoices, Goods Receipt Notes (GRNs), and supporting documentation to enable seamless payment processing.
• Coordinate with Finance to maintain accurate records of financial commitments and accruals.
• Support new product development (NPD) and supply continuity work by helping secure raw material availability.
• Contribute clean, timely data to monthly procurement reporting (spend, stock, supplier performance).
• Maintain audit-ready documentation across all procurement activity, following Haco’s procurement policy and ethical sourcing standards.

Qualifications and Key Competencies

• Bachelor’s Degree in Procurement, Supply Chain, Business, or related field.
• Minimum 3–5 years of procurement experience, preferably in FMCG or manufacturing.
• Solid understanding of category management, contract administration, and supplier performance management.
• Working knowledge of ERP systems (SAP or Sage X3) and MS Excel (pivot tables, spend dashboards).
• Member of Kenya Institute of Supplies Management (KISM) or CIPS qualification (Level 4 and above) or any recognized additional procurement and supply chain certification will be an added advantage.
• Commercial & Analytical: Strong numerical skills for negotiation, cost breakdown, and benchmarking.
• Governance & Compliance: Solid understanding of procurement policies, ethics, and audit readiness.
