Procurement & Stores Officer
Responsible for streamlining the supply chain by sourcing quality goods, managing inventory, and enforcing cost efficiencies to ensure undisrupted daily operations across all departments.
Procurement & Sourcing
- Vendor Management: Identify reliable suppliers, negotiate pricing, and draft service level agreements.
- Purchase Processing: Compile purchase requests, generate Local Purchase Orders (LPOs), and track delivery status.
- Market Surveys: Conduct regular market research and maintain an accredited vendor database.
- Budget Tracking: Control and monitor expenses against approved departmental budgets.
Stores Management & Inventory Control
- Receiving: Verify incoming deliveries against the LPO for quantity, quality, and specifications.
- Stock Optimization: Implement FIFO (First-In, First-Out) to minimize waste, spoilage, and expiration.
- Issuing: Issue supplies to departments only upon receipt of authorized requisition forms.
- Auditing: Conduct periodic physical stock-takes and reconcile discrepancies with Accounts.
Compliance & Reporting
- Health & Safety: Ensure storage areas (dry stores, freezers, cold rooms) are clean, secure, and pest-free.
- Documentation: Keep meticulous records of delivery notes, invoices, and Goods Received Notes (GRN).
- Reporting: Prepare weekly/monthly reports on stock consumption, slow-moving items, and potential shortages.
Qualifications
Diploma or Degree in Procurement, Supply Chain Management, Logistics, or Business Administration; 2-3 years experience in purchasing/stores, ideally in hospitality; proficiency in MS Office and PMS/inventory software (Materials Control, Opera, Fidelio, or SAP); high integrity, strong negotiation and record-keeping skills.
