Responsibilities or duties

  • Assist in the planning, coordination, and implementation of project activities in line with approved project plans.
  • Support the Project Officer in developing and maintaining project schedules, work plans, activity plans, and project trackers.
  • Coordinate meetings, workshops, project activities, and other engagements as assigned.
  • Follow up with responsible persons on assigned project actions and provide updates to the Project Officer.
  • Maintain an up-to-date calendar of project activities, milestones, and key deliverables.
  • Assist in coordinating internal departments and external partners involved in project implementation.
  • Support the preparation of project-related correspondence, briefs, presentations, and reports.
  • Maintain project trackers and regularly update progress against agreed milestones and deliverables.
  • Support the collection and documentation of project performance data and evidence.
  • Support the preparation and organization of documentation required for project reviews and evaluations.
  • Support communication and coordination between project teams, hospital departments, external partners, consultants, suppliers, and other stakeholders.
  • Assist in organizing stakeholder meetings and engagements.
  • Provide timely communication on project activities and meeting arrangements as directed.
  • Follow up on procurement requests, deliveries, services, and other project requirements.
  • Liaise with relevant departments to ensure timely availability of resources required for project activities.
  • Assist in identifying and documenting project risks, issues, dependencies, and constraints.
  • Maintain the project risk and issues register as assigned.
  • Follow up on agreed mitigation and corrective actions.
  • Promptly escalate significant risks, delays, or challenges to the Project Officer.
  • Assist in monitoring project deliverables to ensure they meet agreed requirements.
  • Support project reviews and continuous improvement activities.
  • Ensure project records and processes are maintained to support accountability and audit requirements.
  • Undertake research and gather information to support project planning and decision-making.
  • Perform any other duties relevant to the role as assigned by the supervisor.

Qualifications or requirements 

  • Bachelor's degree in Project Management, Healthcare Management, Business Administration, Public Health, Health Systems Management, or a related field.
  • A Diploma or relevant professional qualification in Project Management will be an added advantage.
  • Training or certification in Project Management such as CAPM, PRINCE2 Foundation, PMP, or equivalent will be an added advantage.

Experience needed

  • Minimum of 2–3 years' relevant experience in project administration, coordination, healthcare programmes, development projects, or a related field.
  • Experience working in a healthcare, NGO, faith-based, or institutional environment will be an added advantage.
  • Demonstrated experience in project documentation, reporting, coordination, and stakeholder engagement.
