Background
The United Nations Office at Nairobi (UNON) is the UN's global centre for environmental matters and for the promotion of sustainable development. It is also the UN headquarters in Africa and the venue of the UN's operations in the region. UNON supports the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UN-Habitat) in their work.
Responsibilities
Under the direct supervision of the Chief, Meetings and Conference Services Section, the incumbent will be responsible for the following duties:
- Provide comprehensive administrative and logistical support for the planning, organization, and execution of meetings, conferences, and events hosted by UNON or its client organizations.
- Coordinate with various UNON sections, client organizations, and external service providers to ensure seamless delivery of services.
- Manage meeting logistics, including venue booking, audiovisual equipment, catering, interpretation services, and security arrangements.
- Prepare and disseminate meeting invitations, agendas, background documents, and other relevant materials.
- Assist in the preparation of meeting budgets, track expenditures, and process invoices.
- Maintain accurate records and databases related to meetings and events.
- Provide on-site support during meetings, assisting participants and resolving any issues that may arise.
- Contribute to the continuous improvement of meetings services by identifying best practices and suggesting enhancements.
Qualifications
Education:
- High school diploma or equivalent. A diploma or degree in a relevant field such as administration, event management, or hospitality is desirable.
Experience:
- A minimum of five (5) years of progressively responsible experience in administrative support, event planning, or conference services.
- Experience working in an international organization or a large-scale event management setting is an asset.
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders.
- Attention to detail and ability to work under pressure and meet deadlines.
- Knowledge of event management software or tools is a plus.
