Role Summary

Nariana Enterprises Ltd. is seeking an experienced Site Accountant to support the financial and accounting activities of our civil engineering construction projects. The successful candidate will be based at a construction project site and will be responsible for maintaining accurate site financial records, managing petty cash and imprests, tracking project expenditure, processing supplier and subcontractor documentation, monitoring labour and payroll costs, reconciling materials and fuel usage, and preparing regular site financial reports for Head Office. Previous accounting experience within a construction, civil engineering, contracting, road works, or similar project-based construction company is mandatory for this position. The ideal candidate should be comfortable working independently at a construction site while coordinating closely with the Site Agent, Project Manager, Procurement, Stores, Plant Department, suppliers, subcontractors, and the Head Office Finance Department.

Key Responsibilities

Site Accounting & Financial Records

  • Maintain complete and accurate accounting records for the assigned construction project.
  • Record and track all site related expenditure and ensure expenses are allocated to the correct project and cost category.
  • Prepare daily, weekly, and monthly site financial records and reports.
  • Maintain proper supporting documentation for all site transactions.
  • Prepare and process payment vouchers, expense vouchers, and other accounting documentation.
  • Verify supplier invoices against LPOs, delivery notes, quotations, and goods received.
  • Maintain schedules of outstanding supplier invoices, payments, advances, and other site liabilities.
  • Ensure all financial transactions are properly supported, authorised, and recorded.

Petty Cash, Imprest & Site Expenses

  • Manage site petty cash, imprests, and cash advances in accordance with company procedures.
  • Maintain accurate petty cash registers and supporting documentation.
  • Ensure cash advances and imprests are properly accounted for and surrendered within the required timelines.
  • Monitor site expenses and identify unusual, unsupported, or excessive expenditure.
  • Submit timely expense reports and supporting documents to Head Office Finance.

Labour, Wages & Payroll Support

  • Maintain accurate records of site labour and casual workers for payroll purposes.
  • Verify attendance and other payroll related information together with the relevant site personnel.
  • Assist with preparation and verification of labour wages and payroll schedules.
  • Maintain proper supporting documentation for labour related expenditure.
  • Track labour costs against project activities and approved budgets.
  • Assist Head Office with payroll reconciliations and statutory payroll information where required.

Materials, Fuel & Plant Cost Control

  • Track the financial value of construction materials received, issued, and consumed at site.
  • Work closely with Storekeepers and site personnel to reconcile material records and identify discrepancies.
  • Monitor and reconcile fuel purchases, fuel issues, and fuel consumption for construction plant, machinery, vehicles, and equipment.
  • Maintain records of plant, equipment, and vehicle related expenditure.
  • Assist in identifying abnormal fuel consumption, material variances, or unexplained expenditure.
  • Support periodic physical stock counts and reconciliation of materials held at site.

Project Cost Control

  • Track project expenditure against approved budgets and cost allocations.
  • Maintain project cost schedules showing actual expenditure and outstanding commitments.
  • Assist in monitoring project expenditure against budgets and BOQs.
  • Identify significant cost variances, abnormal expenditure, or potential cost overruns and report them promptly.
  • Work closely with the Project Manager, Site Agent, Quantity Surveyor, Procurement, and Head Office Finance on project cost control.
  • Support the preparation of project cost information required for management reporting and IPC related records.

Supplier & Subcontractor Accounts

  • Maintain accurate records of supplier and subcontractor transactions at site.
  • Verify supplier and subcontractor invoices against approved documentation and work completed.
  • Maintain records of outstanding supplier and subcontractor payments.
  • Assist with supplier statement reconciliations.
  • Maintain records of subcontractor certificates, payments, advances, and deductions where applicable.
  • Follow up on missing invoices, delivery notes, receipts, or other supporting documentation.

Reconciliations & Reporting

  • Perform regular cash, petty cash, supplier, material, fuel, and site account reconciliations.
  • Prepare monthly site expenditure and cost reports for Head Office Finance and project management.
  • Provide regular updates on cash requirements, outstanding payments, site advances, and financial commitments.
  • Ensure all balances and supporting records are reconciled before monthly reporting deadlines.
  • Assist with internal and external audits by providing site accounting records and supporting documentation when required.

Documentation & Internal Controls

  • Maintain an organised filing system for invoices, receipts, payment vouchers, LPOs, delivery notes, payroll records, petty cash documentation, and other financial records.
  • Ensure all financial documents are properly approved before processing.
  • Ensure compliance with company accounting procedures, approval processes, and internal controls.
  • Maintain confidentiality of company, employee, supplier, subcontractor, and project financial information.
  • Report financial discrepancies, missing documentation, irregular transactions, or control concerns promptly to management.

Qualifications & Experience

The ideal candidate should have:

  • Bachelor’s Degree or Diploma in Accounting, Finance, Commerce, Business Administration, or a related field.
  • CPA (K), ATD, ACCA, or progress towards a recognised professional accounting qualification will be an added advantage.
  • Minimum 4 years of relevant accounting experience.
  • Previous accounting experience in a construction, civil engineering, road construction, contracting, or similar construction company is mandatory.
  • Practical experience working with site accounts, project costs, suppliers, petty cash, imprests, labour costs, and construction related expenditure.
  • Experience working with supplier invoices, LPOs, delivery notes, payment vouchers, reconciliations, and project cost records.
  • Familiarity with Kenyan taxation and statutory deductions.
  • Strong Microsoft Excel skills, including formulas, spreadsheets, reconciliations, and data analysis.
  • Experience using Tally.
  • Ability and willingness to work at a construction project site, including sites located outside major towns where required.
