Responsibilities or duties
Staff Supervision and Performance Management
- Supervise Staff on-site to ensure productivity, efficiency, and adherence to operational standards.
- Monitor staff attendance, discipline, and workforce performance.
- Organize weekly toolbox meetings and submit minutes to the client and internal management.
- Address staff performance concerns and escalate disciplinary matters where necessary.
- Ensure 95% of disciplinary cases are resolved within 10 days of being reported.
Client Service Delivery
- Coordinate and oversee daily site operations to ensure seamless service delivery.
- Deliver services in line with the signed client contract and agreed KPIs.
- Achieve 95% operational compliance as per contractual requirements.
- Monitor daily operations, document outcomes, and escalate operational issues within 12 hours.
- Submit a monthly performance report by the 5th of every month, highlighting achievements and improvement areas.
- Coordinate manpower deployment to meet client ad-hoc operational requests.
- Identify opportunities for operational improvements and efficiency.
Communication and Coordination
- Respond to employee and client concerns within 12 hours and escalate unresolved matters within 24 hours.
- Communicate policy and procedural changes to Staff within 12 hours.
- Inform senior management and Human Capital & Culture of extraordinary site incidents within 12 hours.
- Maintain effective coordination with Finance and HR teams to ensure operational efficiency.
Workplace Health and Safety
- Ensure 100% compliance with workplace health and safety regulations and policies.
- Report workplace incidents within 12 hours of occurrence.
- Complete and submit incident documentation within 7 days.
- Maintain 100% accurate PPE records and submit reports to the client and procurement quarterly.
- Conduct PPE compliance inspections twice weekly, ensuring at least 85% compliance among Staff.
Staff Discipline and Leave Management
- Maintain accurate staff attendance records.
- Ensure 100% accuracy of leave records and submit reports to HR and line management by the 5th of every month.
- Manage staff disciplinary issues and ensure proper documentation and escalation where necessary. Closing 95% of all disciplinary cases with 10 days of been reported
Payroll Management
- Ensure 100% accuracy of weekly and monthly payroll inputs.
- Submit payroll inputs according to payroll timelines (weekly payroll as scheduled and monthly payroll by the 25th).
- Ensure all Staff receive payslips by the 9th of every month.
- Ensure Staff receive their P9 forms annually by February of the following year.
Qualifications or requirements (e.g., education, skills)
Required Qualification and Experience
- Diploma or Degree in Business Administration, Human Resource Management, Operations Management, or a related field.
- Minimum 3–5 years’ experience in operations supervision, preferably in outsourcing, logistics, or service environments.
- Good understanding of health and safety compliance and workforce management.
- Excellent communication, problem-solving, and organizational skills.
- Ability to manage multiple operational priorities in a fast-paced environment.
