Role Summary
As a Talent Operations Specialist, you will support the day-to-day operational processes that keep the employee lifecycle running smoothly, from onboarding and contract administration to offboarding and HRIS data management. You will assist with process documentation, audits, and routine employee relations communications, working closely with the wider Talent team. This is a great opportunity to build your HR operations expertise within a mission-driven, fast-scaling organization.
Responsibilities:
Employee Lifecycle Administration
- Undertake accurate and timely employee administration and transactional processes, including drafting and sending employment contracts, making changes to individual terms and conditions, document processing, onboarding, offboarding, and internal mobility.
- Conduct background and document checks for the core team, ensuring new team members have submitted required clearance certificates.
Process Management Support
- Support the documentation and improvement of Talent processes and procedures, ensuring alignment with global standards and local regulations.
- Assist in the implementation of technology solutions, such as HRIS enhancements or self-service portals, to improve efficiency and user experience.
- Participate in process audits and assessments to identify areas for improvement.
Communication And Correspondence
- Communicate standard Talent policies and procedures to employees and managers.
- Draft routine correspondence, such as emails and letters, related to employee relations activities.
- Communicate effectively with employees at all levels.
Audit And Compliance Support
- Assist in conducting internal and external audits of Talent processes and procedures.
- Review employee records for accuracy and completeness.
Conflict Resolution Support
- Assist with the initial stages of conflict resolution under close supervision, facilitating communication between parties involved.
Requirements
Must-have skills (required)
- Talent process knowledge: applies knowledge of talent management processes to support employee relations activities and initiatives.
- Systems proficiency: demonstrates proficiency in HRIS and other relevant systems, leveraging technology to streamline processes and enhance data management.
- Stakeholder relationship management: establishes rapport with stakeholders to facilitate the resolution of employee relations issues and ensure alignment with organizational objectives.
- Communication and customer service skills: demonstrates clear and empathetic communication, fostering trust and rapport with stakeholders while delivering exceptional service.
- Decision-making: exercises judgment in making decisions on routine employee relations issues, considering various perspectives and potential implications.
- Problem-solving and conflict resolution: applies problem-solving and conflict resolution skills to resolve routine issues, seeking guidance from supervisors as necessary.
- Change management: supports change management initiatives related to employee relations, providing guidance to colleagues during periods of transition.
Academic and Professional Requirements
- Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent practical experience.
- 2–4 years of experience in HR operations, talent operations, or a related administrative role.
Nice-to-have skills (preferred)
- Experience with HRIS platforms and self-service portals.
- Exposure to global or multi-country HR operations.
