An Administrative & Programs Officer needs a blend of administrative and programmatic skills, including strong organizational and communication abilities, proficiency in software like Microsoft Office, and the ability to manage projects.

Manage office operations, including supplies, equipment, and filing. Schedule meetings and coordinate logistics for both internal and external events. Support project implementation by tracking progress, managing documentation, and following up on action items. Assist with budget preparation, financial record-keeping, and processing invoices or payments. Act as a point of contact for general inquiries and provide support to employees and visitors. Maintain and update stakeholder databases and contact lists. Prepare reports, presentations, and other correspondence for internal and external use. Collaborate with Program Managers to support fundraising efforts and grant proposal writing.
Organizational skills: Ability to manage schedules, organize files, and maintain order in an office environment. Communication skills: Excellent verbal and written communication to interact with colleagues, clients, and stakeholders. Technical proficiency: Expertise in the Microsoft Office suite (Word, Excel, PowerPoint) is standard, with knowledge of other relevant software like Adobe Acrobat and project management tools also valuable. Time management: Ability to prioritize tasks, manage multiple requests, and meet deadlines. Problem-solving: Capability to identify and resolve issues that arise in daily operations. Attention to detail: Crucial for tasks like data entry, record keeping, and financial tracking.
Bachelor's Degree in social sciences, business administration or relevant qualification. Over 3 years of relevant experience providing administrative and program support as an Executive Assistant, Project Administration, and/or Program Coordinator. Proven experience in Microsoft Office and using digital project management tools such as Asana. Proven experience working with multiple teams, or startup ecosystems is an asset.
