Depot Operations
Manage daily depot activities to ensure smooth receipt, storage, and dispatch of products.
Coordinate loading and offloading activities.
Ensure all customer orders are dispatched accurately and on time.
Monitor depot productivity and implement process improvements.
Inventory Management
Maintain accurate stock records and reconcile physical inventory with system records.
Conduct daily, weekly, and monthly stock counts.
Investigate stock variances and implement corrective actions.
Ensure FIFO/FEFO principles are followed where applicable.
Fleet Coordination
Coordinate vehicle loading schedules with transport planners.
Ensure trucks are dispatched on time.
Monitor vehicle turnaround times.
Report vehicle breakdowns or operational delays.
Safety, Health & Environment
Enforce compliance with health and safety regulations.
Conduct daily toolbox talks.
Ensure proper housekeeping within the depot.
Report and investigate accidents, incidents, and near misses.
Ensure proper use of PPE by all staff and visitors.
Staff Supervision
Supervise depot operators, loaders, and support staff.
Prepare duty rosters.
Monitor attendance and discipline.
Conduct performance reviews and coach team members.
Customer Service
Resolve customer delivery issues promptly.
Coordinate urgent deliveries with Sales and Customer Service.
Handle customer complaints relating to depot operations.
Documentation & Compliance
Ensure accurate completion of:
- Delivery Notes
- Gate Passes
- Stock Transfer Notes
- Goods Received Notes (GRNs)
- Vehicle Checklists
Maintain proper filing of depot records.
Support internal and external audits.
Cost Control
Monitor depot operating expenses.
Minimize product losses and damages.
Improve loading efficiency.
Key Performance Indicators (KPIs)
- OTIF (On-Time In-Full) deliveries
- Inventory accuracy (%)
- Stock losses/damages
- Vehicle turnaround time.
- Fuel Management.
- Loading productivity
- Depot operating cost
- Safety incidents (Target: Zero Lost Time Incidents)
- Customer complaints
- Audit compliance score
- Team attendance and productivity
Qualifications
Bachelor's Degree in Supply Chain Management, Logistics, Business Administration, or a related field.
Professional certification (CILT, KISM, CPSP, or equivalent) is an added advantage.
Experience
3–5 years' experience in warehouse, depot, or distribution operations.
Experience in FMCG or beverage distribution is preferred.
Previous supervisory experience is required.
