Job Purpose

The Human Resource Officer (HRO) serve as the operational engine of the HR department, providing expert coordination and administration for all HR processes. This role ensures the seamless execution of the employee lifecycle—from recruitment to separation—enabling the HR Business Partner to focus on strategic initiatives and deepening business partnerships

Key Responsibilities

1. Talent Acquisition & Workforce Planning

  • Maintain accurate workforce data through regular updates of manpower and recruitment trackers.
  • Ensure end-to-end logistics for volume recruitment drive job adverts, schedule interviews, conduct feedback, issue offer letters, and initiate background checks.
  • Support critical-skill hiring by tracking candidate progression, managing recruitment budgets, and preparing summaries for HSBP review.

2. Onboarding & Integration

  • Coordinate all onboarding logistics, facilitating Day-1 orientation and probationary check-ins.
  • Manage probationary tracking systems and conduct 30-60-90 day check-ins.
  • Ensure job descriptions are properly executed and filed in employee records.
  • Ensure new-hire Key Performance Indicators (KPI) are established by Day 30.

3. Performance, Learning & Development

  • Support performance cycle administration by generating appraisal compliance reports, updating learning-impact scores, and maintaining and tracking training records.
  • Drive learning engagement by collecting training needs, monitoring training completion.
  • Provide logistical support for L&D initiatives.

4. HR Operations & Employee Lifecycle Management

  • Administer leave management by validating balances, tracking absences, addressing over-utilization, and providing monthly leave data for payroll and compliance purposes.
  • Manage the off-boarding process, coordinating exit clearances, system deactivations, and updating attrition reports.
  • Provide logistical support for employee relations cases, including panel scheduling, documentation, and minute preparation.

5. Reporting & Continuous Improvement

  • Compile and validate HR metrics and new data for regular disclosures and management reports.
  • Proactively identify opportunities for efficiency, proposing at least two process improvement or automation initiatives.

Principal Outputs

  • Timely, accurate, and compliant HR data and reporting.
  • Effective, prompt recruitment, onboarding, and separation processes.
  • Seamless coordination and support for performance management and learning cycles.
  • High-quality administration and operational partnership for the HSBP and line managers.
  • A positive and consistent employee experience through responsive HR operations.

Qualifications - Academic and Professional

  • Bachelor’s degree in Human Resource Management, Business Administration, or a related field.
  • HRM Practicing Certificate is required.
  • Certified Human Resource Professional (CHRP) Level II or higher is preferred.
  • 2-4 years of HR coordination, people operations, or talent acquisition experience in a medium-to-large organization (preferably financial services).
  • Experience using an Application Tracking System (ATS), HRIS, Excel (pivot tables), and LinkedIn Learning dashboards is an added advantage.
  • Sound knowledge of the Kenyan Employment Act and related statutory regulations.
