Job Purpose
The Projects and Property Manager is responsible for overseeing project delivery, vendor and contractor management, architect contract administration, land sales support, rental property management, and day-to-day office operations. The role reports directly to the Managing Director and requires a high degree of independence and commercial judgment.
Key Responsibilities
Office and Team Management
- Supervise support staff and manage daily office operations
- Receive, screen, and route all inbound client calls, emails, and walk-in inquiries
- Manage office suppliers, utility accounts, and service contracts
- Maintain physical and digital filing systems for all company documents
- Update the company operations task tracker daily
Project Management
- Own and maintain the project status tracker for all active developments
- Conduct scheduled site visits and submit written reports with photos after each visit
- Follow up daily with contractors, surveyors, lawyers, and county offices on pending items
- Track all regulatory submissions including NCA and NEMA
- Flag any deviation from project plan, budget, or timeline to the MD within 24 hours
Consultant Management
- Serve as primary contact for all appointed architects, engineers, and consultants
- Issue and track design briefs, review cycles, and submission deadlines
- Review submissions for completeness before forwarding to regulatory bodies
- Maintain a consultant register tracking scope, fees, milestones, and payments
Vendor and Contractor Management
- Source and vet contractors using a minimum of three competitive quotations per engagement
- Prepare scopes of work, payment schedules, and retention terms for all contractor agreements
- Inspect works on site before approving any stage payment
- Negotiate rates in line with current market benchmarks
- Maintain an approved vendor register with performance history
Land Sales Support
- Attend and lead client site visits; deliver plot presentations
- Prepare and maintain buyer-facing materials: site plans, availability schedules, and payment plans
- Track active reservations and follow up on payment installments
- Coordinate with the company lawyer on offer letters, sale agreements, and title transfers
Rental Property Management
- Manage all tenant relationships and oversee monthly rent collection
- Follow up on arrears within 5 working days of the due date
- Maintain a tenancy register with lease dates, renewal schedules, and deposit records
- Coordinate maintenance and repairs; obtain two quotations for any repair
Qualifications and Experience
- Degree or Diploma in Real Estate, Land Economics, Project Management, or Business Administration, Business Administration, Office Management, or a related field
- Minimum 3 years in a Kenyan real estate, property development, or construction environment
- Proven experience in land or plot sales from inquiry through to title transfer
- Direct experience managing architect or contractor contracts
- Working knowledge of Kenyan land documents: title deeds, mutation plans, RIM maps, and official searches
- Experience coordinating Development Permission applications or liaising with NCA, NEMA, or county planning offices
- Strong negotiation, communication, and organizational skills
- Fluent in English and Kiswahili, written and spoken
- Valid driving licence; willing to travel to project sites regularly
Technical Skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with property management software and CRM systems
- Ability to use digital collaboration tools (e.g., Google Workspace, Slack, Zoom)
Probation Period
This role is subject to a 6-month probationary period. Confirmation to permanent employment is based on performance. Full details will be discussed at the offer stage.
