Job Purpose
Supervise daily administrative operations of the office.
Qualifications and Requirements
For appointment to this position, a candidate must have;
- Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC) or its equivalent qualification from a recognized Institution;
- OR
- Business Education Single and Group Certificates (BES & GC) Stages I, II and III from the Kenya National Examinations Council in the following subjects:
- Typewriting III (Minimum 50 w.p.m.)/Computerized Document Processing III;
- Shorthand II (80 w.p.m);
- Business English II/ Communications I;
- Secretarial Duties II;
- Commerce II;
- Office Management III/Office Administration and Management III.
- Cumulative service period of nine (9) years’ work experience, three (3) of which should have been at the level of Assistant Office Administrator I or in a comparable position.
- Certificate in Secretarial Management Course lasting not less than four (4) weeks from a recognized institution;
- Proficiency in computer application skills; and
- Shown merit and ability as reflected in work performance and results
Only shortlisted candidates will be conducted.
Canvassing will lead to automatic disqualification.
Successful candidates will be required to comply with Chapter six of the Constitution.
WRTI DOES NOT charge any fees in the recruitment process.
- Supervise typing and formatting correspondences from drafts and manuscripts and ensuring typo free errors;
- Ensure responses to routine correspondences;
- Ensure maintaining up to date office filing system and file movement;
- Supervise front office to ensure orderliness;
- Ensure booking and handling official appointments;
- Supervise office diary to ensure planned activities are conducted on schedule;
- Ensure preparation and maintenance of an up-to-date office filing system and file movement;
- Supervise all incoming and outgoing mails in the office;
- Keep inventory of all office equipment;
- Supervise office protocol and etiquette;
- Maintain a well-organized office layout and cleanliness;
- Ensure requisitions of office stationery from stores and ensuring prudent use to minimize wastage;
- Manage standing imprest for office use;
- Ensure Conformity to the Institute’s procedures of handling official correspondences and file movements; and
- Ensure adherence to the laid down office administrative personnel regulations, guidelines and procedures for smooth running of offices in the Institute
